Empowering Digital Transformation at Adferiad
Case Study
Introduction
Over the past three years, we’ve partnered with Adferiad, a Welsh charity supporting vulnerable communities, mental health, rehabilitation, and veterans, to help deliver a wide-ranging digital transformation.
Our goal was to consolidate the data and systems of four separate charities into a single, unified Microsoft 365 tenancy, while replacing outdated manual processes with modern, automated solutions — reducing administrative burden, empowering staff, and enabling Adferiad to focus more of its energy on front-line impact.
Challenge
Adferiad was facing several challenges as it navigated the merger of four distinct organisations:
- The Need to consolidate and structure information across different charities into a single, accessible system
- A reliance on on-premise file servers, limiting access and collaboration
- Paper-based forms and workflows that caused delays and inefficiencies
- Limited internal capacity to design and manage digital systems
- An outdated, manual expense reconciliation process that was time-consuming and error-prone
These challenges were holding back operational efficiency and preventing teams from scaling their work effectively.
Our Approach
Our engagement began with foundational infrastructure work and grew into a trusted partnership that spanned cloud migration, workflow automation, staff training, and ongoing support.
Data Migration
We migrated all file storage from local on-premise servers to SharePoint, enabling secure, cloud-based access across the organisation. We also migrated user OneDrive’s from each of the four legacy charities into the new, unified tenancy — with structured permission models to support collaboration and privacy.
Workflow Automation & Blueprint Development
Using Microsoft Power Automate, Forms, SharePoint Lists, and Approval processes, we digitised and automated a range of previously paper-based workflows. During this process:
- We built three complex, reusable flows during training sessions, which now act as reference blueprints for the internal data team.
- The team is now able to replicate or adapt these flows to suit new use cases.
- Best practices were embedded for scalability, naming conventions, and error handling.

Training & Ongoing Support
We delivered hands-on training tailored to Adferiad’s data and admin teams, focusing on building and managing digital flows and SharePoint content. Since then, we’ve continued to offer on-demand support for Power Automate troubleshooting and workflow questions, helping the internal team grow in capability and confidence.
Custom Power App for Expense Reconciliation
We developed a custom Power App to replace the legacy expense process, allowing staff to match expense entries with corporate card transactions. This replaced error-prone spreadsheets with a streamlined, digital system — drastically improving speed, accuracy, and visibility.
